Speaker Guidelines
Submission & Acceptance

Confirm participation by the deadline in your acceptance email.

Submit final talk title, 200‑word abstract, 150‑word speaker bio, and headshot image by the given deadline.

Communicate any changes at least four weeks before the Conference.
Speaker Responsibilities Prior to the Conference
-
Register as a speaker before the deadline.
-
Upload your final presentation at least 72 hours before your session; bring a backup on USB.
-
Indicate AV/equipment needs no later than two weeks before.
-
Provide disclosure of financial/commercial affiliations relevant to your topic.
Presentation Format & Technical Requirements
-
Presentations must be in English.
-
File formats: PowerPoint (.ppt/.pptx) or PDF.
-
Resolution: 1920×1080 (16:9).
-
Minimum font size: 24 pt.
-
Use clear, concise slides with high‑contrast colors.
-
Embed videos and provide separate backup files.
-
Content must be educational, not promotional.

Session Timing & On‑site Procedure

Arrive in the session room at least 15 minutes before your talk.
-
Meet with your session chair for flow, timing, and Q&A.
-
Standard allotment: 20 minutes presentation + 10 minutes Q&A (unless specified).
-
End with summary & take‑home messages.

Chairs will enforce time strictly.

Virtual/Hybrid Participation (if applicable)

Join the session at least 10 minutes early for checks.
-
Ensure a stable internet connection, clear audio, and minimal background noise.

Speak clearly and repeat audience questions when necessary.
Poster Sessions & Panels
-
Poster guidelines (dimensions, setup, times) will be shared separately.
-
Panels: usually up to 4 panellists + moderator with Q&A interaction.
Recording & Permissions

Presentations may be photographed/recorded for Conference use.
-
Ensure permissions for copyrighted/third‑party material.
Code of Conduct
-
Maintain a professional, inclusive, and respectful environment.
-
Avoid discriminatory or promotional material.
