Speaker Guidelines

Submission & Acceptance

  • Confirm your participation by the deadline mentioned in your acceptance email.

  • Submit final talk title, 200-word abstract, 150-word speaker bio, and headshot image by the given deadline.

  • Notify the organisers of any changes at least four weeks prior to the Congress.

Speaker Responsibilities Prior to the Conference

  • Complete your speaker registration before the deadline.

  • Upload your final presentation at least 72 hours before your session; carry a backup copy on USB.

  • Specify any AV/equipment requirements no later than two weeks before the event.

  • Provide disclosure of financial/commercial affiliations relevant to your topic.

Presentation Format & Technical Requirements

  • Language: English

  • Accepted formats: PowerPoint (.ppt/.pptx) or PDF

  • Resolution: 1920×1080 (16:9)

  • Minimum font size: 24 pt

  • Slides: clear, concise, high-contrast design

  • Videos: embed in slides + provide separate backup files

  • Content: educational, not promotional

Session Timing & On‑site Procedure

  • Arrive at the session room 15 minutes before your talk.

  • Meet your session chair to review flow, timing, and Q&A.

  • Standard slot: 20 minutes presentation + 10 minutes Q&A (unless specified).

  • End with a summary & key take-home messages.

  • Session chairs will strictly enforce timing.

Virtual/Hybrid Participation (if applicable)

  • Join at least 10 minutes early for system checks.

  • Ensure stable internet, clear audio, and minimal background noise.

  • Speak clearly and repeat audience questions for clarity.

Poster Sessions & Panels

  • Poster guidelines (dimensions, setup, schedule) will be shared separately.

  • Panels: up to 4 panellists + moderator with interactive Q&A.

Recording & Permissions

  • Presentations may be photographed/recorded for conference purposes.

  • Ensure you have permissions for any copyrighted/third-party content.

Code of Conduct

  • Maintain a professional, inclusive, and respectful atmosphere.

  • Avoid discriminatory, offensive, or promotional content.
